Certificate Replacement Policy

Pioneer Qualifications provides replacement certificates for lost, damaged, or incorrect originals and name changes, subject to specific conditions. Requests must be submitted with a completed form and fee, if applicable, and are processed within 30 working days. Each replacement is uniquely marked and securely issued

Conditions for Replacement Requests

  • Replacement certificates for the circumstances outlined in points 1 and 2 are only applicable if the learner or center contacts Pioneer Qualifications within 60 working days of the certificate issue date.
  • Pioneer Qualifications reserves the right not to issue replacements after this period or for reasons specified below.

Application and Processing

  • A learner or center requesting a replacement certificate must complete a Request for Replacement Certificate form, detailing the status of the original certificate (e.g., lost, damaged) and providing as much context as possible for the request.
  • Verbal requests for replacements are not accepted.
  • The request must include the applicable fee, if required.

Issuance of Replacement Certificates

  • Replacement certificates will be issued within 30 working days of receiving a valid request that meets all conditions.
  • Each replacement certificate will have:
    • A unique identifier code and serial number different from the original certificate.
    • A clear marking of “Replacement” on the certificate.

Exceptions

Pioneer Qualifications may decline a request for a replacement certificate if it determines that the request is:

  • Unreasonable or fraudulent.
  • Potentially damaging to the reputation or security of Pioneer Qualifications.

In such cases, the learner will be informed in writing about the grounds for the refusal.

Note

Pioneer Qualifications ensures that all replacement certificates are processed with due diligence and issued promptly upon satisfying the necessary conditions.

Pioneer Qualifications Certificate Replacement Policy 

Pioneer Qualifications will issue a replacement certificate under the following circumstances:

  1. Non-Receipt of Original Certificate:

    • If the learner or center does not receive the original certificate.
  2. Damaged Certificate:

    • If the original certificate is damaged during transit from Pioneer Qualifications to the learner or center.
  3. Lost Certificate:

    • If the original certificate is lost after being issued by Pioneer Qualifications.
    • A certificate is considered lost if it was issued and subsequently misplaced. If the original certificate is later found, the replacement certificate must be returned to Pioneer Qualifications.
  4. Production Errors:

    • If the learner or center receives a certificate with a production error, such as an incorrect qualification name.
  5. Name Change:

    • If the learner changes their name after receiving the original certificate:
      • The learner must clearly indicate their new name on the application form.
      • Written independent evidence of the new name must be provided.
      • All supporting documents for the name change must be original or certified copies.
